User Manual
Everything you need to run your profit tracking — whether you're a solo owner-driver or managing a fleet.
Creating Your Account
Solo or Fleet
TripPulse works in two modes, set up at account creation:
Solo mode
For a single owner-driver running their own vehicle(s). You track your own shifts, trips, costs, and profit. This covers most of the manual below under "Solo — Daily Use".
Fleet (branch) mode
For an operator managing multiple drivers and vehicles under one account. Adds customer management, payroll, invoicing, and profitability breakdowns — see "Fleet Mode" below.
First-Time Setup
After confirming your email, onboarding walks you through adding your first vehicle. You can add more vehicles anytime from Settings > My Vehicles, and mark one as active.
Dashboard
Your home screen shows this month's net profit, income vs. costs, active days, shift and trip counts, and profit margin at a glance. Warning cards surface when documents are expiring or recurring payments are due.
Tap "View full reports" or "View all costs" to drill into the detail.
Shifts & Waybills
Starting a shift
Logging waybills
During an active shift, tap Add waybill and choose Delivery or Collection. Enter quantity (defaults to 1), optionally scanning the waybill barcode with the camera icon. Each waybill is priced at the rate you set when starting the shift.
Ending a shift
Tap End shift, enter your closing odometer, and optionally a summary report reference number — you can photograph the company summary sheet for your records. The shift summary then shows net profit, income breakdown, costs, and every waybill logged.
Trips
Trips are one-off deliveries with a fixed job price, different from rate-based shifts. Go to Menu > Log trip, select a client (a saved quote can pre-fill the price), and enter origin and destination. End the trip to see your profit after costs.
Tracking Costs
Log fuel, tolls, oil, and tyre costs from the active shift screen or from Menu > Costs. Costs logged during a shift are linked to that shift's profit calculation; all costs feed into Reports for your overall profit and loss picture.
Quotes & Invoicing
Trip quote calculator: enter distance and your cost inputs to generate a price, exportable as a PDF to send to a client.
Monthly invoice: generate an invoice covering all completed shifts for a client in a given month, pulling in the bank details and VAT number you saved under Settings > Invoice details.
Reports
The Reports tab shows profit and loss, cost breakdown by type, and per-vehicle stats, plus a daily profitability chart plotting income against costs with a cumulative profit line. Export the full report as a PDF, or download Shifts, Trips, Costs, and Waybills as separate CSV files.
Settings
Branch Setup
Fleet accounts start at Branch Setup, then build out under a Setup menu: Customers, Vehicles, Drivers, and Routes. Add team members from the Members page. Each customer can have its own rate card under Customer Rates.
Income, Costs & Payroll
Income — log income per customer and route; view all entries under Income.
Costs — log operating costs against vehicles, drivers, or routes. Overheads covers fixed branch-level costs that don't tie to a single vehicle.
Payroll — run driver pay for a period from the Payroll page.
All of the above roll up into P&L, the branch's profit and loss statement.
Invoicing & Receivables
Create customer invoices from Invoices > New, view and open any invoice for detail, and record payments against it. Debtor Ageing groups outstanding balances into 30/60/90+ day buckets so you can see who's overdue at a glance.
| Customer | Amount | Status |
|---|---|---|
| Kaya Logistics | R 12,400 | Paid |
| Metro Freight | R 8,900 | Due |
| Baobab Traders | R 5,600 | Overdue |
Profitability Reports
Under Profitability, break down margin four ways: by Customer, Route, Driver, and Vehicle — useful for spotting which customers or routes are actually worth running.
Importing Data
Bulk-load existing records via CSV under Import: Income, Costs, and Payroll each have their own importer, with a preview step before committing. Check Import History to review or troubleshoot past imports.
Offline Mode
TripPulse works offline. Anything you enter is queued and synced automatically once you're back online. A banner at the top shows your connection status and queued item count, and a badge on the Dashboard tab in the bottom navigation also flags how many items are waiting to sync.
Trial & Billing
Every account starts with 30 days full access, no card required. In the last few days of your trial you'll see a reminder banner. Once the trial ends, a paywall appears until you subscribe.
Subscription is R99 per month, billed securely through Paystack. You can cancel anytime — cancelling reverts your account to the trial state, and since the trial period will already have passed, the paywall reappears.
Support
The in-app Help Guide (Menu > Help) covers every feature. For anything else, reach MK Global support by WhatsApp or email — current contact details are on the Settings page.
